This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit 503dtla.com, communicate with us, submit an inquiry or Booking Request, book or use a 503DTLA Location, purchase or use a Studio Membership, or otherwise use our websites, booking tools, communications systems, or related services (collectively, the “Services”).

This Privacy Policy applies to personal information processed by 503DTLA. Third parties such as Stripe may separately process information pursuant to their own privacy notices.

Where applicable privacy law provides additional rights or requirements, we will process personal information in accordance with those requirements.

1. PERSONAL INFORMATION WE COLLECT

Depending on how you interact with 503DTLA, we may collect the following categories of information.

Contact and Identity Information

We may collect your name, email address, telephone number, company or organization, job title, billing address, and other contact information you provide.

Booking and Membership Information

We may collect information relating to inquiries, Booking Requests, confirmed Bookings, Studio Memberships, Locations, Booking dates and times, Guest Count, intended use, occasion, production or event details, add-ons, Rule Waivers, requested services, membership benefits, booking history, and related account information.

Payment and Transaction Information

Payments are processed through Stripe and its applicable financial partners.

Stripe may collect and process payment-card and financial information directly. 503DTLA may receive transaction-related information such as payment status, payment amount, refunds, authorization status, card type, limited card information such as the last four digits, billing information, Stripe customer or transaction identifiers, subscription information, and dispute or chargeback information.

503DTLA generally does not need to receive or store a complete payment-card number or card security code in order to process your payment.

Communications

We may collect and retain communications between you and 503DTLA, including email, SMS/text messages, telephone-related records where permitted, website chat communications, inquiry messages, customer-support communications, approval requests, claims communications, and messages exchanged through third-party booking platforms.

Booking Acceptance and Transaction Evidence

When you use our direct Booking Widget or other electronic contracting system, we may collect and retain information used to document your transaction and agreement to applicable terms, including the Booking ID, applicable Terms version, Property Rules version, checkbox or consent language, acceptance timestamp, IP address, browser or device information, payment authorization information, and related electronic records.

Website and Device Information

When you visit or use our website or Booking Widget, we or our service providers may automatically collect information such as IP address, browser type, operating system, device information, referring page, pages viewed, timestamps, cookie identifiers, approximate location derived from IP address, and information about how you interact with the website.

Property Access, Inspection, and Claims Information

In connection with a Booking, we may collect information concerning access to and use of a Location, including check-in and check-out information, Site-Rep reports, property-condition reports, before-and-after photographs or videos, damage documentation, repair estimates, invoices, receipts, access-control information, Guest Count information, overage records, and other information reasonably necessary to administer a Booking or resolve a claim.

Security and Surveillance Information

Certain Locations may use disclosed security cameras, doorbell cameras, access-control systems, or similar security systems in areas where such systems may lawfully be used.

Where legally obtained, information from such systems may be processed for safety, security, property protection, Booking administration, verification of attendance or overages, investigation of Property Rule violations, claims, and dispute resolution.

503DTLA does not rely on this Privacy Policy to authorize recording in any area or circumstance where recording is prohibited by applicable law.

Insurance, Permit, and Compliance Information

For certain Bookings, we may collect certificates of insurance, insurance-policy information, permits, licenses, approvals, vendor information, and other documentation necessary to determine whether Booking requirements have been satisfied.

Social Media and Content Information

If you voluntarily provide a social-media account, photographs, videos, behind-the-scenes content, reviews, testimonials, or other content, we may process that information for the purpose for which it was provided.

We will obtain additional permission where required before using Guest-created content for marketing purposes.


2. SOURCES OF PERSONAL INFORMATION

We may collect personal information directly from you; automatically through our website and Booking Widget; through Stripe and other payment providers; through HubSpot and other systems we use to operate our business; through third-party booking platforms; through property owners, managers, Site-Reps, vendors, or other persons involved with your Booking; and from security, access-control, or property-management systems where lawfully used.

We may also receive information from someone booking or communicating on behalf of a company, production, client, or other Attendee.


3. HOW WE USE PERSONAL INFORMATION

We may use personal information to operate, administer, and improve the Services; respond to inquiries; evaluate and approve Booking Requests; process and confirm Bookings; administer Studio Memberships; process payments, deposits, refunds, authorizations, recurring payments, and Additional Charges; communicate with Guests, Members, Clients, property owners, and Site-Reps; coordinate access and Booking logistics; provide customer service; administer add-ons and Rule Waivers; verify compliance with Booking requirements and Property Rules; investigate claims, damage, overages, fraud, or misuse; establish, exercise, or defend contractual and legal rights; respond to payment disputes and chargebacks; prevent fraud and unauthorized transactions; maintain accounting, tax, and business records; improve website and service performance; maintain safety and security; comply with legal obligations; and send marketing communications where permitted by law.

We may use information collected during a Booking to compare pre-Booking and post-Booking property conditions and determine whether damage, cleaning, overtime, Guest Count overages, or other Additional Charges may apply.

We may also use transaction and acceptance information to demonstrate what terms, pricing, Property Rules, or authorizations were presented and accepted in connection with a transaction.


4. STRIPE AND PAYMENT PROCESSING

503DTLA uses Stripe to process payments, payment authorizations, refunds, subscriptions, recurring transactions, and certain subsequent Booking-related charges.

Information necessary to process a transaction may be transmitted to Stripe and its applicable financial partners.

Stripe may process information for payment authorization, fraud detection and prevention, authentication, payment-method storage or tokenization, subscription billing, payment processing, refunds, disputes, chargebacks, compliance, and other payment-related purposes.

Stripe's processing of personal information is also governed by Stripe's applicable privacy notices and legal terms.

503DTLA may retain Stripe customer IDs, transaction IDs, PaymentIntent or similar transaction identifiers, subscription identifiers, payment status, limited payment-method information, and other transaction records necessary to administer our relationship with you and document transactions.


5. HUBSPOT AND BUSINESS OPERATIONS

503DTLA uses HubSpot as a customer-relationship-management and operational system.

Information relating to an inquiry, Booking, Membership, Guest communication, property approval, Booking status, claim, payment, or other operational matter may be stored or processed in HubSpot.

We may use HubSpot to track a Guest or Booking from inquiry through Booking confirmation, Booking administration, post-Booking follow-up, claims, and dispute resolution.

We may also use other service providers for communications, accounting, scheduling, document storage, website operations, analytics, customer service, and related business functions.


6. HOW WE DISCLOSE PERSONAL INFORMATION

We may disclose personal information when reasonably necessary to service providers and contractors that perform functions on our behalf, including Stripe, HubSpot, website providers, hosting providers, communications providers, analytics providers, accounting providers, fraud-prevention providers, and other operational vendors.

We may disclose relevant Booking information to property owners, property managers, Site-Reps, vendors, Clients, or other persons who reasonably need the information to evaluate, approve, coordinate, host, administer, or investigate a Booking.

We may disclose information to payment networks, card issuers, financial institutions, Stripe, arbitrators, courts, insurers, attorneys, collection providers, or other appropriate parties in connection with a payment dispute, chargeback, claim, contractual dispute, or legal proceeding.

We may disclose information where required by law, subpoena, court order, government request, or other legal process, or where reasonably necessary to protect the safety, property, rights, or security of 503DTLA, our Locations, our customers, property owners, or others.

We may disclose or transfer information in connection with a merger, acquisition, financing, restructuring, sale of assets, transfer of management rights, or similar business transaction.

503DTLA does not sell personal information in exchange for monetary payment.

Certain advertising, analytics, cookie, or similar technologies can constitute “selling,” “sharing,” or targeted advertising under some privacy laws even when no money is exchanged. To the extent 503DTLA engages in activity legally characterized as a sale, sharing, or targeted advertising, we will provide applicable notices and opt-out rights as required by law.

503DTLA may send transactional or customer-care communications relating to inquiries, Booking Requests, confirmed Bookings, payments, Studio Memberships, Site-Rep coordination, claims, safety, or other Services.

Where required, marketing or promotional communications are sent only with appropriate consent or other lawful authorization.

You may opt out of promotional email using the unsubscribe mechanism provided in the communication.

You may opt out of applicable SMS marketing communications by replying STOP or using another method identified in the message.

Opting out of marketing communications does not prevent us from sending non-marketing communications reasonably necessary to administer an existing Booking, Membership, payment, claim, account, or legal obligation.


9. DATA RETENTION

503DTLA retains personal information for as long as reasonably necessary for the purposes for which it was collected and as necessary to satisfy legal, accounting, tax, fraud-prevention, contractual, insurance, dispute-resolution, and operational requirements.

The appropriate retention period depends on the type of information and the reason it was collected.

For example, Booking, payment, agreement-acceptance, claims, and dispute records may be retained after a Booking is completed because they may be necessary for accounting, tax reporting, chargeback defense, insurance, contractual claims, litigation, or other legitimate business or legal purposes.

Security footage or similar records may be retained for a shorter period unless an incident, claim, investigation, safety concern, or legal obligation requires longer preservation.

When information is no longer reasonably necessary, we may delete, anonymize, or securely dispose of it, subject to applicable law and technical limitations.

503DTLA uses reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, alteration, or disclosure.

503DTLA offers luxury location rentals for creative production, events, and meetings. Bookings are subject to confirmation and compliance with our Location Rental Agreement and house rules.

2. User Responsibilities

  • Damage or misuse 503DTLA properties, staff, or services
  • Attempt to hack, scrape, or overload our systems

3. Bookings & Cancellations
All bookings are governed by our Location Rental Agreement, which includes:

  • Cancellation/change terms (including Last-Minute Change Fee)
  • Insurance and indemnity requirements

4. Content & IP
All content on this website (text, graphics, logos, photos, video) is the exclusive property of 503DTLA or its licensors and may not be reused or reproduced without permission.
